Presentation Guidelines for Oral Sessions (ICAVP2025)
1. Overview
Authors whose papers are included in the technical program are required to prepare and deliver an oral presentation.
This guideline provides essential information for all presenters at ICAVP2025.
2. Oral Presentation Format
- Time Allocation: 10 minutes for presentation + 3 minutes for Q&A + 2 minutes for transition.
(Session chairs will strictly enforce the 15-minute total time limit.) - Before the Session: Presenters should introduce themselves to the session chairs before their session.
3. Presentation Materials
- Format: MS PowerPoint (.pptx/.ppt) or PDF (.pdf).PPTX format is highly recommended.
- Template: A PowerPoint template is available on the ICAVP 2025 website: International Conference on Advanced Vehicle Powertrains
- File Naming:
Use the following format for your file name:
Day–Room–Session Order–Presentation Order–Surname
Example: Sat.A05.1.2_Smith.pptx

4. Speaker Check-In
- Arrival Time: Arrive at the session room at least 10 minutes before the session starts.
- Slide Submission:
– Send your presentation slides to ICAVP2025@nottingham.edu.cn before the presentation day.
– Bring a backup copy on a USB flash drive for on-site upload. - Equipment:
– Presentations will run on conference PCs (Windows, MS PowerPoint, Adobe Reader).
– Personal laptops are not permitted. - Multimedia:
– Audio/video must be embedded in the slides or submitted separately with clear instructions. - Podium Setup:
– A laser pointer and slide advancer will be provided.
– Presenters needing notes may bring a personal device for reference (not for projection)
5. If a Presenter Cannot Attend
If a presenter is unable to attend in person, please:
- Submit your presentation slides (.pptx) with embedded audio narration (recorded within PowerPoint for each slide) of your talk to ICAVP2025@nottingham.edu.cn before the presentation day.
- You may join the session online to participate in the Q&A discussion after your recorded presentation is played.
